Job Description

·       Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.

·       File and retrieve corporate documents, records, and reports and uphold a strict level of confidentiality

·       Create spreadsheets and presentations as needed

·       Prepare agendas and make arrangements for committee, board, and other meetings.

·       Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.

·       Attend meetings to compile minutes, and distribute to departments.

·       Meet with individuals, special interest groups and others on behalf of executives, committees and boards of directors.

·       Prepare and maintain meeting agenda for monthly administration team meeting and other meetings as assigned

·       Screen internal/external calls, email, and written correspondence.

·       Prepare executive responses to routine memos, letters, or correspondence.

·       Assist in developing relationships with ministries; conferring with staff at a chosen event/meeting site to coordinate details

·       Assist in special assigned projects such as MIC related tasks Manage and maintain executives' schedules.

·       Confer and coordinate with MD and Deputy MD to determine their travel needs and preferences; notifying them of the essential information, such as travel times and transportation connection and/or any change to their itinerary.

Job Requirements

·       Bachelor’s degree in Business Management or any suitable business-related field from a reputable university.

·       Prefer to have 2 years of experience as an Executive Assistant reporting directly to senior management or a combination

·       Skills using database, spreadsheet, and word-processing software, particularly those in G Suite (or) Microsoft 365, to facilitate daily work and prepare reports

·       Familiarity with the online booking tool, Concur, for business travel and arrangements preferred

·       Experience in work directly involved in providing administrative support, special event or conference planning preferred

·       Experience in contract negotiations with vendors preferre

·       Demonstrated excellence with verbal and written communication skills

·       Demonstrated organizational skills and attention to detai

·       Ability to manage budgets, schedules & overall action items. Using judgment to select the most appropriate and effective choices, and weighing costs and benefits.

·       Availability to travel as needed.

·       Advanced Microsoft Office skills

·       Resourceful and proficient in problem-solving.

·       Strong organizational, time management, and problem-solving skills with impeccable multitasking abilities

·       Exceptional interpersonal skills and professional attitude, discretion, and ability to handle confidential information.
