Job Description

·       Organize, categorize, and maintain all project documents, including contracts, plans, permits, and reports.

·       Ensure that all documents are up to date, accurately filed, and easily accessible to stakeholders and proper distribution of documents to relevant team members, contractors, and consultants.

·       Coordinate document reviews, approvals, and revisions with all stakeholders.

·       Implement version control procedures to track document revisions and ensure consistency.

·       Maintain a log of document revisions, approvals, and distribution dates.

·       Ensure that all documents meet regulatory and quality standards.

·       Conduct regular audits of document management systems for accuracy and compliance.

·       Assist project managers, architects, and engineers in retrieving necessary documents.

·       Facilitate document-sharing among internal teams and external parties.

·       Maintain an organized filing system for physical and digital project records.

·       Ensure documents are archived properly and stored according to company and legal requirements.

·       Assist in the management of procurement-related documents such as purchase orders, contracts, and invoices.

·       Provide regular updates on document status and issues to project managers

·       Support general administrative tasks related to project documentation.

Job Requirements

·       Bachelor’s degree in Construction Management, Business Administration, Architecture, or a related field.

·       2+ years of experience as a Document Controller or in a similar administrative role within the construction or related field.

·       Hands-on experience in managing a large volume of documents, including contracts, drawings, and legal/technical documentation.

·       Familiarity with construction-related documentation and regulatory compliance processes.

·       Strong skills in organizing, categorizing, and managing project documentation, including contracts, permits, plans, and reports.

·       High level of accuracy and attention to detail in document processing, revision control, and archiving.

·       Proficiency in managing document revisions, ensuring that the most current versions are accessible to the project team.

·       Excellent communication skills to liaise with internal teams, contractors, and external stakeholders.

·       Proficient in document management systems (e.g., Procore, SharePoint) and Microsoft Office Suite.

·       Strong organizational and time-management skills to handle multiple tasks and maintain document control systems.

·       Knowledge of industry standards, building codes, and regulatory requirements for construction and development documentation.
